Integrations overview

Integrations ↗ is where you connect your outreach tools with inDeal. The subtitle puts it briefly: Connect your outreach tools with inDeal. There are two cards: PROSP for LinkedIn campaigns and PlusVibe for email campaigns. Contents - What the connection does - Who sees this area - Two possible views - If the page reports an error - Next What the connection does Once it is set up, three things happen automatically: - Campaigns from PROSP or PlusVibe appear in inDeal under Campaigns. - Leads from those campaigns are imported. - Replies arrive through a webhook, get classified and trigger the workflows. Without a connection, the Campaigns area stays empty and leads only arrive by hand or by import. Who sees this area Integrations is reserved for the Admin role. With the Sales role the menu entry does not appear, and opening the address directly leads to Personal profile ↗. The Extension ↗ page next to it, by contrast, is visible to everyone regardless of role - a tool for daily sales work, see The Chrome extension. Two possible views What you see on the page depends on whether your agency has enabled self-service setup. Without it: managed by your agency You see the LinkedIn Outreach and Email Outreach cards, each with the note Managed by your agency. and one of two markers: - Connected, plus the note This integration is managed by your agency. There is nothing to set up here. - Not connected, plus The integration is not set up yet. Your agency will take care of it. Either way there is nothing for you to do. Contact agency is how you get in touch if you want something changed. For email the card adds: Want to change your email integration or connect it yourself? Your agency sets this up for you. The Integrations page in the agency-managed view This is not an error and not a missing permission. The connection runs through your agency's access and is maintained there. With it: self-service On each card you see the button Connect PROSP or Connect PlusVibe with the note Connect your PROSP account to import campaigns and leads into inDeal automatically. One click starts the wizard, see Connecting PROSP and Connecting PlusVibe. The permission is granted per tool, so your agency may enable only one of the two. If the page reports an error If it reads The connection status could not be loaded., the state is temporarily unavailable. Reload the page. If it persists, contact support: Getting help and support. Connecting PROSP

If your agency has enabled self-service setup, you connect PROSP yourself. The wizard has four steps, each headed Step {n} of 4. Allow about ten minutes and have your PROSP access to hand. You can close it at any time and resume later. Contents - Step 1: enter the API key - Step 2: select campaigns - Steps 3 and 4 - If you stop halfway - Next Step 1: enter the API key 1. Click Connect PROSP. 2. Fetch your key in PROSP under Settings, Integrations. The button Open PROSP settings takes you straight there. 3. Paste it under PROSP API key. 4. Click Connect. The key is verified with PROSP; meanwhile it reads Verifying with PROSP, this can take a few seconds. If the key is rejected | Message | What to do | |---|---| | PROSP rejected this key. Please check it and try again. | Copy the key again, watch for leading or trailing spaces. | | PROSP is currently unreachable. Please try again in a moment. | Wait a moment and retry. | | Self-service access is not enabled for this account. | The permission is missing. Contact your agency. | | Encryption is not configured on the server. | Only your agency can fix this. | | The connection could not be saved. | Try again. If it persists, tell your agency. | Step 2: select campaigns inDeal fetches your campaigns from PROSP. Meanwhile it reads Fetching campaigns … Select the campaigns whose leads should be imported and click Start import ({n}). The import begins right away. Two notes accompany this: - Campaigns newly created in PROSP will be added automatically in the future. So you only need to pick the existing ones, not future ones. - Leads are assigned to the user mapped to the respective LinkedIn sender in the next step. The assignment is therefore decided in step 3. If you would rather import nothing for now, use Skip without selection. All campaigns are then marked as not imported and you can add them later. If you neither select anything nor skip, you are prompted to choose at least one campaign. If there are no campaigns yet, it reads No campaigns found yet. That is fine, you can continue and sync again later. During the import you see Import running … with the progress {done}/{total} campaigns processed. With many campaigns the imports are processed one after another. Steps 3 and 4 The two remaining steps are the delicate part and have an article of their own: Setting up senders and the webhook. If you stop halfway The state is preserved. The page then shows Setup not yet complete. with the note: Campaigns and their leads are already being imported. New replies only arrive once the webhook is set up. Resume setup picks up where you left off. The status stays on Setup pending in the meantime. This is a half-finished state, not a finished one. Connecting PlusVibe

If your agency has enabled self-service setup for email outreach, you connect PlusVibe yourself. The wizard guides you through four to five steps, each headed Step {n} of {total}. Unlike PROSP, inDeal sets up the webhook itself, there is nothing to configure in PlusVibe. Allow about five minutes and have your PlusVibe access to hand. You can close it at any time and resume later. If you do not have a PlusVibe account yet, the link No PlusVibe account yet? Start here (partner link) on the card and in the wizard takes you to the sign-up. Click Connect PlusVibe. 2. Fetch your key in PlusVibe under Settings, Integrations. The button Open PlusVibe settings takes you straight there. 3. Paste it under PlusVibe API key. 4. Click Connect. Step 1 of the wizard: the field for the PlusVibe API key The key covers your whole PlusVibe account. If it is rejected, copy it again and watch for leading or trailing spaces. The other messages match those for PROSP, see Connecting PROSP. Step 2: choose the workspace A PlusVibe account can have several workspaces. The note reads: Your PlusVibe key covers all workspaces of the account. Choose the workspace whose campaigns should flow into inDeal. If your account has exactly one workspace, inDeal picks it for you and skips this step. If it reads No workspace was found in this PlusVibe account., create a workspace in PlusVibe first. Step 3: select campaigns Select the campaigns whose leads should be imported and click Start import ({n}). The import begins right away and runs in the background. If you would rather import nothing for now, use Skip without selection and add the campaigns later under Not imported campaigns. The campaign step with two selected campaigns and the Start import button Two notes accompany this: - Campaigns newly created in PlusVibe will be added automatically in the future. You only pick the existing ones, not future ones. - Leads are assigned to the user mapped to the sending mailbox in the next step. Active, paused and completed campaigns are offered. Drafts and archived campaigns do not appear. For a completed campaign the leads are imported once but not refreshed afterwards; its metrics also stay at the state of the import. Step 4: assign mailboxes The note reads: Assign each person with their PlusVibe mailboxes to a team member. Replies to those mailboxes are attributed to that member as owner. Mailboxes are grouped per person, below it reads {n} mailboxes. Pick the responsible colleague per person via Choose member. The mailbox step with one person assigned This step is optional. Unassigned mailboxes go to the workspace owner. You can change this later under Senders. Replies to unassigned mailboxes therefore belong to the workspace owner, nothing is lost. Next takes you to the last step. Step 5: webhook The note reads: inDeal registers the webhook in PlusVibe automatically. Replies to your campaigns arrive instantly afterwards. The webhook step with the Register webhook button 1. Click Register webhook. 2. While it registers, it reads Registering the webhook in PlusVibe … 3. Then Connected. Replies are flowing into inDeal now. appears and the connection status reads Active. The connection card with status Active and the connection's campaigns below If registration fails, it reads The webhook could not be registered. You can retry in a moment; the connection is kept. Retry starts it again. The connection and the imported campaigns stay in place, only replies do not arrive until then. The webhook covers all campaigns of the workspace, including ones created later. You do not have to maintain it. Replacing the key and disconnecting Both work as for PROSP, see Rotating the key and disconnecting. Two differences: - Replace key opens Replace PlusVibe key. The new key has to belong to the current workspace, otherwise you see The chosen workspace does not belong to this PlusVibe account. Webhook and campaigns stay intact. - Disconnect removes the webhook in PlusVibe automatically and deletes the stored key. You have to remove the campaigns first; their exclusive leads are permanently lost in the process. Leads that also belong elsewhere stay. What happens to leads and replies - Leads are recognised by email address. If a person already exists, for example from a LinkedIn campaign, no duplicate is created; the existing record is completed instead. - Every reply appears as an "Email Reply" activity on the lead, is classified automatically and triggers your workflows. - On the connection card, Last event shows when a reply last arrived and Last sync when campaigns were last synced. Setting up senders and the webhook

Steps 3 and 4 of the PROSP wizard decide who owns which leads and whether replies arrive at all. Both are quick, but step 4 has a trap. With PlusVibe both are simpler: assigning mailboxes is optional, unassigned replies go to the workspace owner, and inDeal registers the webhook in PlusVibe itself. The steps are in Connecting PlusVibe. Step 3: assign senders The note reads: Assign each PROSP sender to a team member. Replies from that sender are attributed to that member as owner. 1. inDeal fetches the senders from PROSP; meanwhile it reads Fetching senders … 2. Pick the responsible person per sender via Choose member. 3. An assigned sender is then marked Assigned. Why this matters: the assignment decides who incoming leads belong to. That determines who sees them in Open leads ↗ at all, whose numbers on Home ↗ they affect, and who receives the workflow notifications. As long as a sender is unassigned you cannot continue; you see Assign every open sender to continue. If a sender shows as a conflict If a sender shows Conflict, the note reads: This sender is already taken in another workspace and cannot be assigned here. Your agency will sort this out. You can continue anyway. Each sender address belongs to exactly one account. Continue and report the case to your agency. If there are no senders at all, it reads There are no senders for this connection yet. You can continue. Step 4: set up the webhook The webhook is the line replies travel down to reach inDeal instantly. Without it, leads are still imported but no replies are delivered - and so no workflows run. The wizard shows a Callback URL and the Copy button; after the click it briefly reads Copied. The five steps as the product states them: 1. In PROSP, open Settings, Webhooks, Create a webhook. 2. Paste the copied URL as the Callback URL. 3. Select "LinkedIn Message Replied" as the event. 4. Press Test Webhook. 5. Then press Continue so the webhook is saved. The Open PROSP webhooks button takes you straight to the right place. The trap the product highlights itself Important: step 5 is required. If you stop after the test, you have only tested it but saved nothing. That is the most common mistake during setup. The test reports success, everything looks right, and afterwards no webhook exists. Make sure you press Continue in PROSP. How you know it worked While inDeal waits, it reads Waiting for the first connection from PROSP … As soon as the first message arrives, it changes to Connected. Leads are flowing now. The connection status then jumps from Setup pending to Active. You can close the window at any time: You can close anytime and resume setup later. If nothing arrives Check in this order: 1. Was Continue pressed? Without that step there is no saved webhook in PROSP. 2. Is the event right? It has to be LinkedIn Message Replied. 3. Is the URL right? Take it unchanged from inDeal, without truncating it. 4. Does the status read Active? If not, the first message from PROSP is still missing. Two fields on the connection card help: Last event shows when something last arrived, Last sync when the last sync ran. If both are empty, nothing has ever come in. Managing the campaigns on a connection

Below the connection card sits the Campaigns section with the note Campaigns on this connection. Deleting removes them along with their exclusive leads. This is where you add skipped campaigns or remove ones you no longer want. Contents - The list - Adding skipped campaigns - Deleting campaigns - Why this lives here and not under Campaigns - Next The list The header shows {n} campaigns. Below it, one row per campaign with the name and {n} leads. Search campaign … narrows the list, Select all and Clear selection handle selection. With something selected it reads {n} selected. If the search matches nothing, you see No campaign matches the search. If nothing is attached to the connection at all, it reads No campaigns are attached to this connection anymore. Adding skipped campaigns If you left campaigns out during setup, they sit under Not imported campaigns with the note Select a campaign if you would like to import it later. 1. Select the campaigns you want. 2. Click Add ({n}). One of two responses follows: - Import started. The leads will appear shortly. - Import queued. It will run once the current process has finished. So another import is already running. If you see The campaigns were created, but the import could not be started., the campaign now exists in inDeal but the leads are still missing. Try again. Completed campaigns With PlusVibe you can also import completed campaigns. Their leads come in once; afterwards neither leads nor metrics are refreshed, because nothing happens in PlusVibe anymore. Active and paused campaigns are synced by inDeal every night. Deleting campaigns This is the most dangerous action in inDeal. Read this section before you run it. 1. Select the campaigns. 2. Click Delete selected ({n}). 3. Delete campaigns? opens with {n} campaign(s) selected. 4. Wait for the preview. Meanwhile it reads Loading preview … 5. Read the preview. It shows {n} deleted and {n} kept per campaign. 6. Type the company name to confirm. The prompt reads Type the company name to confirm: {company}. 7. Confirm with Delete permanently. What the warning means The note reads: {del} leads will be PERMANENTLY deleted and will NOT go to the trash. {keep} leads are kept (they also belong to other campaigns). Two things matter about that: - No trash. Unlike deleting individual leads, there is no 30-day window and no restore. Support cannot bring these leads back either. - Only exclusive leads disappear. If a lead also belongs to another campaign, it survives. That is exactly what the preview shows under {n} kept. Asking for the company name is not red tape, it is the last stop before an action that cannot be undone. If deleting fails - The campaigns could not be deleted. Please try again. - a hiccup. - At least one campaign does not belong to this customer. - the selection no longer matches the state. Reload the page. Why this lives here and not under Campaigns In the Campaigns area you see results and metrics but cannot create or delete anything. The technical inventory hangs on the connection, and that is why it is maintained here. Next - Rotating the key and disconnecting - The campaign overview

Rotating the key and disconnecting

The card of an existing connection carries four details and two actions. This article describes PROSP; PlusVibe works the same with two differences described in Connecting PlusVibe: the new key has to match the current workspace, and on disconnect inDeal removes the webhook in PlusVibe itself. If it stays unchanged for days, nothing is arriving, whatever the status says. Replacing the key Needed when the key was regenerated in PROSP or might be compromised. 1. Click Replace key. Replace PROSP key opens. 2. The note reads: Enter the new PROSP key. Your webhook and campaigns stay intact, nothing needs to be set up again in PROSP. 3. Paste the new key. 4. Confirm with Replace key. Key replaced. then appears. This is the harmless action. Neither the webhook nor the campaigns nor the leads are affected. Only the stored access is swapped. Disconnecting The note reads: The stored key will be removed. The PROSP webhook will no longer deliver to inDeal. You can set up the connection again at any time. 1. Click Disconnect. 2. Confirm in the Disconnect? window with Disconnect. Remove all campaigns first The button is locked as long as campaigns are attached to the connection. Below it you then see Remove the {n} campaigns in the section below first, then you can disconnect. That is deliberate: without this order, campaigns would be left behind without a connection. How to remove them is in Managing the campaigns on a connection - including the warning there that leads are permanently lost in the process. If disconnecting shows Campaigns are still attached to the connection., something is left over. What it looks like afterwards Leads and campaigns already in inDeal stay. What stops is the inflow: no new leads, no replies, no workflow runs. Cancelling setup If the setup was never completed, the button reads Cancel setup instead of Disconnect. The note reads: This not-yet-completed connection will be removed along with its {campaigns} campaigns. You can set it up again at any time. If leads have already been imported, a second line joins it: {leads} assigned leads will be PERMANENTLY deleted and will NOT go to the trash. Read that second line carefully. Unlike disconnecting a finished connection, data disappears here. If a meaningful amount has already been imported, finish the setup instead and decide afterwards. The Chrome extension

The inDeal Chrome extension lets you pull a contact into inDeal straight from their profile page, without retyping anything. Unlike Integrations ↗, the Extension ↗ page is not restricted to Admin - it is a tool for daily sales work. Where you find it Two ways: - In Setup under Extension. - At the bottom left of the sidebar via Install Chrome plugin. Installing Click Install the inDeal Chrome extension ↗. The link opens the Chrome Web Store, where you install it as usual. The Extension page with the install button and the three steps 3 steps to your first leads That is what the guide in the product is called, and that is how it goes: 1. Sign in with an email code Open the extension and sign in with the code from your email. The extension uses a numeric code, not the sign-in link from the browser. You enter your address, receive the code by email and type it into the extension. Use the same address as in inDeal. A different address does not know your account. 2. Open a profile Go to a profile on a supported page. That means a person's profile page on LinkedIn. The extension recognises it and shows its panel. 3. Capture the lead Import name, company and role to inDeal in one click. The extension reads Name, Company and Role from the profile and creates a lead from them. If contact details such as Landline, Mobile or Email are present, they come along. The button is called Import to inDeal. Leads from Sales Navigator For now, you can only capture leads from the profile page, meaning an address like linkedin.com/in/.... Capturing straight from Sales Navigator lists or search results is not possible, the extension shows no panel there. Open the person's profile and click Import to inDeal there. What happens to the captured lead It lands on the stage Qualify and is assigned to you. Set a follow-up date right away. Without a date the lead counts as cold and does not appear in Open leads ↗, only in All leads ↗. That is the same rule as for imports, see Open leads and All leads. Running both is the normal case. If something does not work - No code in the email. Check the spam folder and the spelling of the address. - The extension shows no panel. You are most likely not on a profile page but on an overview or a search. - Fields stay empty. The extension cannot read what is not in the profile.
