The appointment agent at a glance
The appointment agent reaches out to matching people from your LinkedIn profile, follows up and prepares replies. The goal is a meeting. You decide who it contacts and what it writes. You decide whether replies go out with approval or by autopilot. Contents - What an agent is - The Your agents overview - The five tabs of an agent - The header of an agent - Who can do what - Next What an agent is An agent reaches out to an audience from one source, with its own campaign, on one LinkedIn profile. For a second audience, another source or another profile, you create another agent. You find the appointment agent in the sidebar under Agent. Below it are Agents, Audiences and Replies. The Your agents overview Under Agents you see all agents in a table: name and source, profile, audience, status, stock, acceptance rate, reply rate and the next step. - Use Search agents, Profile and Status to filter the list. - New agent creates a draft. - When replies are waiting for your approval, the top right shows for example "8 replies waiting". One click takes you to the replies. The Your agents overview with the New agent button The five tabs of an agent An agent has five tabs. When you set it up, you go through them from left to right: 1. Audience: who the agent contacts and which LinkedIn profile it writes from. 2. Leads: where the leads come from and which ones you take over. 3. Campaign: the steps, the texts and a preview for each lead. 4. Replies: what happens as soon as a lead replies. 5. Activity: what happened today, what comes next and where a lead is paused. In a draft, tabs stay locked until the previous one is done. Hover over a locked tab to see for example Add leads first. Finished tabs show a check mark. Header and tabs of a running agent The header of an agent At the top you see the status and the name of the agent. You change the name directly in the field. - The status is Draft, Active, Paused, Completed or Archived. If a running agent stops, the reason shows instead, for example Paused: LinkedIn account restricted. - The number next to the people icon is the number of leads. One click opens the Leads tab. - The gear opens the settings: briefing, requests per day and working hours. - Depending on the status, the main button says Start agent, Pause or Resume. - Behind the three dots you find Duplicate, Archive, Move to trash and End and archive, depending on the status. An ended agent cannot be started again. Campaign, replies and numbers stay readable. Who can do what - Admins manage every agent in the account. - Members create agents and manage the agents that write from their own LinkedIn profile. - Only admins create and edit audiences. Members can move their own drafts to the trash, only admins can restore them. Learn more in Multiple profiles in a team. Next - Create an agent and choose a source - Appointment agent FAQ
Create an agent and choose a source
A new agent takes a few steps: pick the audience and the profile, pick the source, take over leads. Then the agent writes the campaign. Contents - Create a new agent - Audience and LinkedIn profile - Choose the source - The sources in detail - Change the source in a draft - After the start - Next Create a new agent Under Agent and Agents, click New agent. A new draft opens in the Audience tab. Nothing is sent at this stage. Cancel leaves the setup. If the draft has no source and no leads yet, it disappears again. Audience and LinkedIn profile In the Audience tab you make two choices: - Audience: who the agent should contact. Pick an existing audience or create a new one with Create new audience. If the audience still lacks something, you see for example "Still missing: problems of your audience" with Add next to it. - LinkedIn profile: which profile the agent writes from. You pick it once, then it stays fixed. Members pick their own profile, admins any profile in the account. If no profile is connected yet, you see Connect a LinkedIn profile first. Then click Continue to leads. The Audience tab during setup with the choice of LinkedIn profile Choose the source In the Leads tab you choose where the leads come from. One click on Check source picks the source, then it stays fixed. You see the matching leads first. Nothing goes out before you start. The agent takes on the name of the source, for example Existing contacts, unless you renamed it yourself. The source cards in the Leads tab The sources in detail Source What it delivers Existing contacts Your first-degree LinkedIn contacts that match your audience. The fastest way to conversations because you are already connected. Signal leads People who are showing interest in you right now: connection requests, comments, likes and profile visitors. Profile visitors need LinkedIn Premium. New leads New matching people from your audience, up to 150 in stock. The agent refills every week. CRM leads Leads already in inDeal, for example from the lead plugin for Chrome. You pick them in the "All leads" list. CSV import Your leads from a file. They go into the CRM, then you hand them to the agent as CRM leads. Which sources you can use depends on your plan. Signal leads start with the Scale plan, not in the trial. New leads and CRM leads need a complete audience. How it continues is explained in The Leads tab. Change the source in a draft While the agent is a draft, you see Change source next to the source. inDeal asks before anything happens: - The leads already taken over are removed from this agent. They stay in inDeal. - Sequence and messages are then created anew for the new source. - Recordings, form of address and settings stay. The person sending from this profile and any admin can change the source. Change source in a draft After the start After the start, the source stays fixed. Depending on your account, running agents offer Switch source. This creates a copy with your settings and your profile, and you pick a new source for it. Sequence and texts are then created anew for the new source. Leads already in progress finish in the current agent. You can pause the current agent at the same time. If an agent with existing contacts finds only a few matches, it suggests adding new leads. Yes, add creates a second agent on the same profile. Both agents share the daily and weekly limits of this profile. Next - Audience and offer - The Leads tab
Audience and offer
The audience tells the agent who to contact and how to spark interest. The more precise it is, the better the leads and the texts fit. Contents - Main audience and further audiences - The Audience tab - Edit an audience - Offer - Proven texts with placeholders - References and knowledge - Who can do what - Next Main audience and further audiences Under Agent and Audiences you find all audiences of the account. The first one is called Main audience and carries the label First audience. With New audience you add more, for example for a second product or another industry. Each agent uses exactly one audience. You can only delete an audience when no agent uses it. The Audience tab In the Audience tab of an agent, Audience of this agent shows the contacts, industries, regions and company size. - Edit opens the audience. - Choose another audience swaps the audience. This works in a draft and for a paused agent. While the agent runs, you see Pause the agent to switch the audience. Running texts stay as they are. - Below, you see the LinkedIn profile of this agent. You cannot change it here. After a switch, the texts stay as they are at first. New texts come with Recreate texts in the settings (gear) in the Campaign tab. The Audience tab of a running agent Edit an audience An audience has these fields: - Name - Industries and Regions, each separated with commas - Employees from and Employees to - Contacts: the role, for example managing director, and whether the person decides, champions or influences - Offer, Problem and Solution At the top you can enter websites or documents. Scan prefills the fields. Check the suggestions, then save. You edit the main audience on its own page. Seven steps guide you through sources, audience, avatar sentences, references, aha messaging, free offers and door-opener questions. Learn more in Define your ICP. An audience with industries, contacts and offer Offer The agent writes towards a yes. For that it needs a free offer, for example a short review, or a door-opener question. If both are missing, the agent shows Add a free offer or a door-opener question to your target group so the agent can write towards a yes. You pick the offer an agent mentions in the briefing under Free offer. The agent only uses confirmed offers. Proven texts with placeholders If you have texts that already work well, add them under Proven texts: First message, Follow-up and Voice message script. The agent takes them as a guide. Insert placeholders with the buttons above the field: - AI variable: a sentence the agent writes for each lead. - Contact field: first name, last name, company, job title or location. - Lead's post: a sentence about the lead's latest suitable post. If a placeholder does not fit, the audience cannot be saved. The voice message script has no placeholders. If you leave the fields empty, the proven texts of your main audience apply. Proven texts with the placeholder buttons References and knowledge - References: customer and result, for example a project with numbers. Leave empty and the references of your main audience apply. - Knowledge for replies: what should your agent know when someone replies? Upload for example your objection handling or FAQ, as PDF, Word, Excel, CSV or HTML, up to 10 MB each, at most 5 files. There is also a field for free text. Who can do what Admins create, edit and delete audiences. Members see the audience of their agent. If something is missing, they see An admin of your team adds this. The Leads tab
The Leads tab shows which people your source delivers, how they match your audience and who is excluded. This is where you take leads over into the agent. Contents - Top of the tab - How the agent checks - Matches, Does not match, Not checkable - Exclusions and their reasons - Take over leads - Take over new leads automatically - Next Top of the tab At the top you see the Source of this agent, plus Stock and New since last week. The stock is the matching leads not taken over yet. Below sits the card of the source. For existing contacts, for example, how many contacts are imported, how many are checked and when the next sync runs. How the agent checks The agent checks every contact against your audience in two stages. It is a rule-based check, not a score. 1. Preselection: does the role in the headline match a contact person of your audience? A different function or no decision-making role drops out here. 2. Full check: position, industry, company size and region from the profile and company data. If you change the audience, the agent checks the leads again. You then see for example "Target audience changed, 40 leads are being checked again". Matches, Does not match, Not checkable Each contact gets one of these results in the Audience check column: Result Meaning Matches The role matches and the industry is known. If only size or region are missing, it stays a match. Does not match Something clearly contradicts the audience, for example the position or the industry. The reason is shown. Not checkable Data is missing, for example no company data on the industry or "profile not retrievable". Preselection, being checked The headline matches, the full check is still running. At first the list only shows matching contacts. The buttons Preselection, Not matching and Not checkable add the other groups. You can select contacts that match. Contacts that are not checkable you select one by one by hand if you want to contact them anyway. Check results, filters and exclusions above the list Exclusions and their reasons Above the list you see how many contacts are excluded and why, for example "300 contacts excluded: 250 in a running agent, 50 already in this agent". Possible reasons: - in a running agent: another agent is already writing to this person. - already in this agent: the person was in this agent before. - connected to a colleague: the person is a first-degree contact of another profile in your team, but not of yours. Your colleague can message them directly. This applies to signal leads and new leads. - with a conversation in the last 90 days: there was already a conversation in the last 90 days. - at customers: the person works at a company that is already a customer. - on the blacklist or blocked. - declined before. Excluded contacts do not appear in the list. Before the first message the agent also checks again whether a conversation is already running. Take over leads You take over leads in three ways: - Take over all matching: all contacts that match. - Take over selection: the contacts you ticked. - Add to campaign: a single contact, right in its row. For the New leads source, the buttons say All matching into the campaign and Into the campaign. Before taking over, inDeal asks and shows how many will be added. Each lead is checked once more. Anyone skipped is listed with the reason in the dialog. Some cases need a confirmation, for example an earlier decline, an open deal at the company or a 90-day waiting period since the last outreach. Only admins can confirm. Leads you take over go into the CRM and into the agent. In a draft nothing is sent yet. Continue to campaign takes you to the next tab. The dialog for taking over contacts Take over new leads automatically Under Take over new leads you set what happens with new matching leads: - After approval: they appear as suggestions at the top of the table. You take them over one by one or all at once. - Autopilot: they go straight into the campaign. Leads that need a decision (waiting period, earlier rejection, open deal) stay suggestions. The Campaign tab
The Campaign tab shows what the agent does and when: the steps from the connection request to the follow-up, the texts and a preview for each lead. Contents - Du or Sie for German agents - The steps - Edit texts - Placeholders and Lead's post - Record voice and video messages - The preview of the first leads - What you can change after the start - Next Du or Sie for German agents German has an informal and a formal way to address people. For German-language agents, the agent asks after you take over leads: How do you address your leads? You pick Du (informal) or Sie (formal). Your agent then writes campaign, texts and preview in this form of address. No texts are created before that, and the agent cannot be started. English-language agents skip this question. You can change the form of address later in the settings (gear) under briefing at Form of address. This works in a draft and for a paused agent. The question Du or Sie The steps On the left you see the sequence from top to bottom, with the wait times between the steps. Use the plus to add steps: - Messages: message, voice message, video message - Warm-up: visit profile, like post, comment on post - Control: wait, condition, A/B test - In inDeal: set follow-up, set pipeline stage On top of that comes the connection request, at most one per campaign. Its note has at most 300 characters. Without LinkedIn Premium, requests go out without a note. In the suggested campaign the first message follows as soon as the person accepts the request. The campaign sequence with steps and wait times Edit texts Click a step to show it on the right. Edit opens the editor with name, text and the wait time before the step. Save applies the change. The agent writes the texts from your audience and your briefing. When a new text template is available, it offers Regenerate messages and campaign. Placeholders and Lead's post Above the text field are the placeholder buttons: - AI variable: a sentence the agent writes for each lead, for example a greeting or a personal line. For an AI variable you can set a Fallback text. It applies when the profile is too thin. Empty means the sentence is dropped. - Contact field: first name, last name, company, job title or location. - Lead's post: a sentence about the lead's latest suitable post. If there is no suitable post, the placeholder uses the reason from the source instead, for example that you are already connected. It is never empty. - Emoji If a placeholder does not give a complete sentence for a lead, the agent holds this step for that lead. You see this in the Activity tab. The editor with the AI variable, Contact field and Lead's post buttons Record voice and video messages You record voice and video messages yourself. The agent suggests the script. - Record in browser or Upload file. - Voice message: m4a (AAC), at most 59 seconds, up to 20 MB. At 0:00 the recording stops by itself. - Video: mp4 (H.264, AAC), portrait 9:16, up to 20 MB. - One recording applies to all leads of the agent. So do not address anyone by name. - Without a recording the step is skipped. You can still start. Admins and the person sending from this LinkedIn profile can change recordings. The voice message editor with Record in browser and Upload file The preview of the first leads On the right the agent shows how the text reads for this lead, under the heading with the lead's first name, for example "How Markus reads it". For the first three leads it prepares the preview by itself, without a click. While that runs, you see Preparing the preview …. Use the arrows to switch to the previous or next lead, for example "Lead 1 of 270". The selector lets you search for a specific lead. For more leads, click Create preview. Highlighted text comes from this lead's profile. What you can change after the start - You can edit texts while the agent runs. The correction applies to all steps not sent yet. Sent steps stay unchanged. - Changes to the sequence only apply to new leads. - Briefing and comment settings you change after pausing. Next - Start, working hours and limits - The Replies tab
Start, working hours and limits
Once leads are taken over and the campaign is ready, you start the agent. It then works in your working hours and stays within the limits of your LinkedIn profile. Contents - Start the agent - What prevents the start - Working hours per agent - Pace: requests per day - Daily and weekly limits per profile - When your LinkedIn account is restricted - Pause, resume, end - Next Start the agent At the top right, click Start agent. The question Start agent? follows, with the number of leads and the note that the agent starts within your working hours. It also shows whether replies and comments go out With approval or by Autopilot. Under Open tips (for your information, you can still start) the agent lists things you can still improve, for example a missing recording. Without a recording the step is skipped. The question Start agent? What prevents the start If something is still missing, Start agent opens the list The agent cannot start yet with all open points instead of the question. The most common ones: Message What you do The agent has no leads yet. Take over leads in the Leads tab. First choose in the Campaign tab how you address your leads. Pick the form of address. Apply to other agents too … copies them to more agents. - The time zone is that of the person whose profile the agent sends from. - You can change working hours while the agent runs. Pace and working hours in the settings Pace: requests per day At Requests per day you set how many connection requests the agent sends per day at most. Below, you see how long it takes at this pace until every lead has a request. All agents of this LinkedIn account share the daily limit. If you have two agents on one profile, the setting applies to both together. Daily and weekly limits per profile To protect your account, fixed limits apply per LinkedIn profile. All running agents of this profile share them. Action Limit Connection requests at most 20 per day and 100 per week Messages, including voice and video messages 80 per day Profile visits 80 per day Likes 40 per day Comments 20 per day The agent does not use up the limits fully every day and leaves at least one minute between two actions. With a freshly connected profile it starts at half and ramps up to the full volume over 14 days. You then see a ramp-up note. Depending on your plan, an extra weekly limit applies to your whole account, across all profiles together. In the trial and on the Starter plan, that is up to 50 people per week, on the Scale plan up to 150, of which at most 100 new contacts. When your LinkedIn account is restricted If LinkedIn restricts your account, the agent stops sending. The header shows Paused: LinkedIn account restricted, the steps show Waiting: your LinkedIn account is restricted, the agent pauses. You also get an email. Nothing is lost. Due steps stay scheduled. Once the account works again, the agent continues in the right order, within the limits. Deadlines for open connection requests are extended by the length of the restriction. Pause, resume, end - Pause: the agent sends nothing until you resume it. Planned steps and data stay. - Resume: the agent continues with the planned steps. It first checks again that everything is ready. - End and archive: all open steps stop immediately. Sent messages, replies, history and numbers stay readable. An ended agent cannot be started again. A draft that never ran you Move to trash. It stays there for 30 days and can be restored. Next - The Replies tab - The Activity tab
The Replies tab
As soon as a lead replies, the campaign stops for this lead. The agent classifies the reply and writes a draft. You approve it, or the autopilot sends it by itself in clear cases. Contents - The reply logic - With approval or Autopilot - When the autopilot waits - Approve replies - Choose a profile - Later and follow-up - From yes to meeting - Next The reply logic In the Replies tab, As soon as a lead replies shows how the agent reacts to each kind of reply: Kind Reaction Lead then shows Positive Propose two meeting times Meeting booked Question Answer the question In conversation Objection Ask back, no pitch In conversation Later Set a follow-up Follow-up Decline End politely Closed If a reply is unclear, the agent sends nothing and asks you. Below, you see what the agent relies on: Meetings, Knowledge and Tone and limits. Under Meetings you set when you offer meetings. Without time windows the agent cannot be started. With one click, Use Mon-Fri 8 am to 6 pm sets a default. Before the start, try out on the right in the Test conversation how the agent reacts. You play the lead, nothing is sent. After the start, the received replies and the follow-ups show there. The reply logic with the choice With approval or Autopilot With approval or Autopilot Under Send replies you choose: - With approval: every reply waits for you. - Autopilot: the agent sends clear first replies without open points by itself. Everything else waits for your approval. The autopilot sends a few minutes after the reply arrives. Outside the agent's working hours it sends shortly after the next working hours begin. Until then the draft shows the time it will be sent. Review myself takes it back into approval. If the lead writes again in the meantime, the agent discards the draft and assesses both messages together. When the autopilot waits Even with autopilot the agent waits for you when - the reply is unclear, for example just a thumbs-up or "we'll see", - the agent writes an answer to a question or objection itself. If you set your own template for the reaction, the autopilot can send it, - the agent has no knowledge for a question, - a conversation is already running, so from the second reply on, also when the lead accepts one of the proposed meeting times, - the draft still contains a placeholder or a meeting time is missing. Approve replies You find all open replies from all agents under Agent and Replies. At the top there are the tabs Open and Done (30 days), plus filters by campaign and by kind. Each card shows the lead, the agent and the draft. You edit the draft right in the field. - Approve sends the reply immediately. - Discard sends nothing. - If a placeholder is still in the text, you can approve only after replacing it. - Notes on the text are only tips, you can still approve. - If a suggestion fails, you see The suggestion could not be created. With Regenerate the agent tries again. Admins and the person sending from the profile the reply came in through can approve. Open replies with draft, Discard and Approve Choose a profile If agents run on several profiles in your team, a selector appears at the top right: All profiles and each profile's name with the number of open replies. Under All profiles each card shows which profile the reply came in through. Your choice is saved. If you open a reply through a link, for example from an email, the list switches to the right profile by itself. The profile selector above the replies Later and follow-up If a lead writes "later" or "get back to me in January", the agent classifies the reply as Later. It sets a follow-up task on the lead. If the lead names a time, that time applies. Otherwise the agent picks a suitable time, without any hint after two months. The person whose profile the agent writes from gets a reminder. An open task you set yourself is never overwritten. The card then shows the follow-up date. The Replies tab of the agent lists all follow-ups. From yes to meeting If a lead replies positively, the draft proposes two concrete times from your time windows. If the lead picks one, a confirmation draft is created. The card then shows the chosen time with the note that approving sets the lead to "Meeting scheduled". When you approve, the agent sends the confirmation and sets the lead to Meeting scheduled. The agent does not create a calendar entry. You add the meeting yourself. Next - The Activity tab - Multiple profiles in a team
The Activity tab
The Activity tab shows what your agent did, what comes next and where it is waiting for you. It fills up as soon as the agent runs. Contents - Numbers at the top - What needs your decision - Paused leads and Try again - Today and Up next - Understanding hold reasons - History - Next Numbers at the top - Not messaged yet: how many leads have no request and no first message yet, and roughly how long the stock lasts. Add leads tops it up. - Acceptance rate, Reply rate, Positive replies and Meetings, each with its base, for example 120 of 250. If the agent stops, the reason shows at the top, for example Stopped: profile disconnected or a limit reached until a date. One click explains what to do. Numbers and lists in the Activity tab What needs your decision These sections only appear when there is something in them: - Sending unclear: the agent does not know whether a step arrived. Check your LinkedIn inbox and choose Was sent, continue or Skip. The agent never sends a second time by itself. - Conversation could not be checked: for 24 hours the agent could not check whether a conversation already exists. Choose Send anyway or Skip. - Messages waiting for approval and comments to approve, if you set these to approval. - Alerts (last 7 days), for example when the agent runs out of leads or a profile needs to be reconnected. Admins and the person sending from this LinkedIn profile can decide. Paused leads and Try again If a step fails, the agent pauses the lead. Under leads paused you see the step for each lead and the reason in plain words, for example The lead or the conversation is no longer reachable on LinkedIn. Nothing was sent. Try again lets the lead continue. The agent schedules the step again in a few minutes, at the earliest after the usual gap to the previous step and always within working hours. The button only appears when nothing was sent for sure. If it is open whether something arrived, for example because LinkedIn did not answer, the agent does not try again. This way it never messages anyone twice. Paused leads with the Try again button Today and Up next - Today: all actions from today with their result, for example Sent, Skipped, Waiting for approval or Failed. - Up next: the next planned actions with time, lead and step. Replies the autopilot is about to send are listed there too. If a planned time falls outside the working hours, the start of the next working hours shows. Understanding hold reasons Below an action you see why it waits or was skipped: Note Meaning Waiting: your LinkedIn account is restricted, the agent pauses Once the account works again, it continues. Waiting: the LinkedIn profile is not ready right now, next try later The agent tries again by itself. Waiting: the same person is in a paused agent The person is in another agent that is paused right now. Ended: the same person is already in another running agent Only one agent writes to the person. Skipped: conversation on LinkedIn in the last 90 days There was already a conversation, the agent does not interrupt. Skipped: request withdrawn The connection request was withdrawn. Blocked: on the blacklist The person is on your blacklist. Not needed For example already connected or the lead has replied. If the text for a lead still contains an open placeholder or a broken sentence, the section Held: text cannot be sent like this appears. The agent checks again every hour. After your fix the step goes out. After 72 hours the step counts as failed. History At the bottom you find the History with when, lead, action, step and result, newest first. The Lead filter shows a single lead. A click on a lead opens it in the preview of the Campaign tab. When taking over: each lead is checked once more. Skipped leads are listed with the reason in the dialog, for example already in a running agent. 3. When sending: if the same person is in two running agents, only one writes. The other ends the outreach. If the other agent is paused, the step waits. Several agents on one profile share the limits. Can I change the source or the profile later? The profile stays fixed once the agent is created. You change the source in a draft with Change source. After the start it stays fixed. Depending on your account, Switch source creates a copy with a new source. Does the agent contact anyone twice? No. People already in a running agent or with a conversation in the last 90 days are excluded. If the same person does end up in two agents, only one writes when sending. If it is unclear whether a step arrived, the agent does not send again but asks you.
